Job Vacancy: Office Manager

Reports to: Executive Director and Assistant Executive Director

The Office Manager is responsible for the administrative and organizational management of Arab Center Washington DC (ACW). Responsibilities include assisting in the preparation of payroll, coordinating accounting functions, writing and following up on correspondence, coordinating building maintenance services, designing and maintaining filing systems, reviewing and approving supply requisitions, and assigning and monitoring all office functions. The ideal candidate will be experienced in handling a wide range of administrative and executive support-related tasks, well organized and flexible, with a professional demeanor and excellent interpersonal skills.

Key Responsibilities

    1. Provide general administrative support to all staff, to include: ensuring the efficient and smooth functioning of ACW by planning and implementing office systems, layouts, and equipment procurement; coordinating meeting and conference call logistics; drafting correspondence and presentations; and assisting in the smooth organization and implementation of public events.

 

    1. Perform general office/facilities management duties, to include: ordering and managing the inventory of office supplies; planning space allocations, layouts, and floor moves as required; arranging for and supervising building maintenance services; and maintaining office facilities and equipment by assisting with procurement and routine maintenance and upkeep.

 

    1. Assist with payroll and human resources functions, to include: working with payroll company, under the guidance of the Executive Director and Assistant Executive Director, to oversee payroll system and tax withholdings; updating system with new/departing employees; processing bi-weekly payroll, reviewing timesheets for hourly staff, and issuing reports as needed; assisting in recruiting, selecting, orienting, and training employees; maintaining human resources files in accordance with laws, regulations, and established standards; and ensuring compliance with federal, state, and local labor laws.

 

  1. Perform accounts payable processing and other basic accounting functions, to include: reconciling invoices and filling out payments requests and assisting with entering and processing approved payments; developing and maintaining various financial databases and reports; working with and maintaining relationships with vendors and accountants; and, under the guidance of the Executive Director and Assistant Executive Director, preparing an annual budget and monthly and periodic reports, scheduling expenditures, analyzing variances, and initiating any necessary corrective actions.

Skills and Qualifications

Three to five years of solid administrative experience in an office setting; bachelor’s degree in a relevant field; excellent verbal and written communications, networking, and presentation skills (in English); excellent organizational skills and attention to detail; demonstrated ability to manage complex tasks and prioritize competing demands to meet deadlines; proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and QuickBooks.
